Raunaval Inc. keeps a personnel register related to recruitment. Other possible uses for the collected personal and company data are the employee register, customer register and stakeholder register.
4.1 According to the EU General Data Protection Regulation, the legal basis for processing personal data is
– the person’s consent
– an agreement to which the data subject is a party
– statutory functions
– performing a public task, or
– the legitimate interest of the controller (e.g. customer relationship before the contract, employment relationship, membership).
4.2 The purpose of personal data processing is communication with customers, maintenance of customer relations and activities related to recruitment.
4.3 The information is not used for automated decision-making or profiling.
5.1 The information to be recorded in the register is all information provided by the person. These include, for example, the person’s name, position, company/organization, contact information (phone number, e-mail address, address), background information, IP address of the network connection, information about ordered services and their changes, billing information, other information related to the customer relationship and services.
5.2 Registered personal data is organized in a way that is suitable for business operations, for example by trade union, based on work experience, education or other similar matter.
5.3 Data will be stored indefinitely or until the person in the register makes a deletion request to Raunaval Inc. Raunaval Inc. can also remove a person from the register on its own initiative.
5.4. The IP addresses of website visitors and cookies necessary for the service’s functions may, however, be processed on the basis of a legitimate interest, e.g. to take care of data security and for the collection of statistical data of website visitors in those cases when they can be considered to be personal data. If necessary, consent is requested separately for third-party cookies.
6.1 The information to be recorded in the register is obtained from the customer, e.g. from messages sent via web forms, by e-mail, by phone, via social media services, contracts, customer meetings and other situations where the customer gives out their information.
6.2 Information about contact persons of companies and other organizations can also be collected from public sources such as websites, directory services and other companies.
7.1 Raunaval Oy does not hand over the contents of its register to other parties in accordance with the rules. Information can be published to the extent agreed with the customer.
7.2 Data can also be transferred by the controller outside the EU or EEA in accordance with section 7.1. Data will not be transferred to the United States without the express consent of the data subjects.
7.3 Personal data can be disclosed if so agreed in the customer relationship. Personal data is transferred for usual recruitment, employment or contractual purposes.
8.1 Care is taken when processing the register and the information processed with the help of information systems is properly protected. When registry data is stored on Internet servers, the physical and digital data security of their hardware is taken care of accordingly.
8.2 The registrar ensures that stored data as well as server access rights and other data critical to the security of personal data are handled confidentially and only by those employees whose job description it is.
9.1 Every person in the register has the right to check their information stored in the register and to demand the correction of any incorrect information or the completion of incomplete information. If a person wants to check the information stored about him/her or demand correction, the request should be sent in writing to Raunaval Inc.
9.2 The controller may, if necessary, ask the requester to prove his identity.
9.3 The controller responds to the customer within the time stipulated in the EU data protection regulation (generally within a month).
10.1 A person in the register has the right to request the removal of personal data about him/her from the register. Data subjects also have other rights according to the EU General Data Protection Regulation, such as limiting the processing of personal data in certain situations. Requests must be submitted in writing to the controller.
10.2 The registrar may, if necessary, ask the requester to prove his identity. The controller responds to the customer within the time stipulated in the EU data protection regulation (generally within a month).
